Affiliate Program

1. What if I refer someone to The Coaches Console®?
We offer an Affiliate program that pays you a 30% commission on the $99 one-time license fee.

2. How and when will I receive my affiliate commission?
Every month, we calculate any and all referrals from the month prior and mail you a check. For affiliates outside of The United States, your affiliate commissions are processed through PayPal.

3. Is it simple and easy to refer The Coaches Console to my colleagues?
As an affiliate you will have access to the exclusive “Affiliate Center” in which we provide you with the logos, graphics, website content, sample email messages and more to make it super easy for you to have everything you need to refer The Coaches Console.

4. What are the various options I have to receive my affiliate commission?
Our typical form of payment is via US check. For our international affiliates we also offer payment through PayPal accounts.

Billing

1. What does the billing summary track?
All year-to-date invoices, client balances and billing history are tracked, and can be downloaded into other accounting software programs.

2. How does The Coaches Console help me invoice?
The Coaches Console delivers reminders to you for creating and sending your invoices, and a seamless connection for credit card acceptance from your clients.

3. How does the billing solution work?
Our merchant partners, Practice Pay Solutions and PayPal, gives you automated payment acceptance capability.

4. Can I send electronic receipts to my clients?
Yes. The system gives you the option to send a receipt for each payment to your clients by e-mail.

5. I bill for time - rather than monthly fee. It varies for each client and session. Can I change this easily?
You can certainly do that. As you noticed the system is geared to the "traditional" model of monthly coaching invoicing, yet can be altered to fit other flexible billing methods.

6. In Australia we have to add GST to every bill - can the system do this?
Yes. In the "creating invoices" section, you can add "misc. line items" and so this could very easily be incorporated into each invoice.

7. I notice there are no invoice numbers - can I add an invoice number?
Yes, there actually are invoice numbers, which are optional. If you do use invoice numbers, the system will automatically number them and remember which invoice you left off with. For example. if you create 5 invoices today, the system will number them 1 through 5. Then next week, you create 5 more invoices, the system will then start those with invoice number 6 and number them 6 -10.

8. Can I export data into a bookkeeping program? I use "MYOB" Software, but I only noticed reference to QuickBooks.
Our system is compatible with QuickBooks. You can also export both invoices and payments received to several formats, including Excel spreadsheets, comma separated files, and tab separated files.

9. What are the financial features of the system? Is it just billing and invoicing, or are there tools for budgeting and tracking expenses?
The system tracks invoicing, receiving of payments (both on-line and manually) as well as some business reports (invoicing report, projected income report), and generates electronic receipts. We connect with the accounting software QuickBooks so that you can easily export your invoicing and payment data and from there access other business reports, expenses, budgets, etc.

10. Can your billing section interact with Paypal?
Our system will connect to PayPal as long as you have a business account setup.

11. If I work with clients internationally, can my Coaches Console system support that?
Yes, The Coaches Console currently accepts all international currencies currently recognized through PayPal. You can invoice your clients in various currencies AND you can invoice different clients in different currencies.

12. Can my clients pay in currencies other than US dollars?
Yes, you can choose to establish one international currency as a default for all of your clients or you can choose separate currencies independently for each client based on their location.

13. What if I am coaching people in an organization and the Financial Director is paying the invoice, not the person I’m coaching; can your system accommodate that?
Yes, there are multiple ways in which you can generate invoices that are not sent to or paid by the client.

14. Can I apply discounts to invoices?
Yes, you can apply either a percentage discount or enter a flat rate discount to all of your invoices or select invoices to certain clients.

15. Would I be able to print my invoices in the event I wanted to hand deliver them to my client during a coaching session?
Of course, when you are creating your invoices, printing is one of the options you can select.

16. Can I offer the option of paying for coaching services on line to my clients?
Yes, in fact there are multiple options you can take advantage of. You can integrate PayPal with your system. Plus, you can connect any merchant account that uses the Authorize.net gateway as a way for your clients to make credit card payments through your “Private Client Website” that you have with your Console system.

Business Reports

1. How do I track my coaching hours for certification?
The Coaches Console provides a certification report that automatically compiles all certification hours. By simply scheduling your client appointments, the system converts that data into a report that is formatted appropriately for ICF standards. There is a timer included in the system that you can choose to use for accuracy of hours. And, there is also a simple way to denote which clients are paying clients and which are pro-bono and the system will track this in the certification report as well.

2. Can I print and download the reports?
With every report in The Coaches Console, you can print and/or download to an excel spreadsheet.

3. What business reports are available through The Coaches Console?

  • Client Data Reports allow you to track demographics and other personal information about your clients and contacts;
  • The Certification Report, automatically compiles your coaching hours into an ICF preferred format;
  • The Invoice Report gives you quick and easy access to amounts invoiced, money received and outstanding balances;
  • The Income By Accounts report allows you to track your revenue streams within your business;
  • The Projected Income Report allows you to forecast your income and client agreements;
  • The Client’s Birthday Report lists your contacts and their birthdays allowing you to easily celebrate the events;
  • The Newsletter Report gives you a quick snapshot of how many people are subscribed to your newsletter and how many have unsubscribed;

Communication

1. How do I create a newsletter?
The Coaches Console offers each member a newsletter template, as well as completed monthly newsletters available for your use & personalization.

2. Will the newsletters that are part of the system be created to focus on the various types of coaching?
The Coaches Console offers each member a newsletter template, as well as completed monthly newsletters available for your use & personalization. The newsletters provided by The Coaches Console will be general articles supporting anyone in the coaching process. They are not focused on a particular niche.

3. Can I send emails from The Coaches Console?
Yes, you can generate individual emails as well as create email templates. Emails can be sent to individual people on your list or to specific groups. You can even attach documents and files to be sent along with your message.

4. Can I personalize my email messages?
Absolutely. Using the “replacement tags” you can create email blasts to multiple people while personalizing each message.

5. Can I automate the sending of email messages?
Yes, you can create emails and set a future send date and time to individuals on your contact list or to specific groups of people.

6. Do you have autoresponders?
Not yet, currently you can automate your emails for future send dates. The autoresponder feature is one that will be integrated into a future release.

7. Do I have to obtain my own email address or does The Coaches Console provide that for me?
You will obtain your own email address; The Coaches Console does not provide you with an email address.

8. What does the “FROM” filed look like to the recipients of my emails, newsletters, appointment reminders, invoices, etc?
In order to comply with the SPAM regulations and to be sure that your recipients receive your communications, the “FROM” field will look like the following:
When a message first lands in your recipient’s inbox and is “unread:”
Your FIRST NAME and LAST NAME will appear as the sender
When a message has been opened by the recipient:
info@CoachesConsole.com; on behalf of {Coach’s First and Last Name} [Coach’s email address]
For example:
info@CoachesConsole.com; on behalf of; Melinda Cohan [melinda@CoachesConsole.com]

9. Do you save and archive all of my sent emails?
Yes, any email sent to your contacts will be organized by name and date sent.

10. Are my sent newsletters archived?
When a newsletter is sent to anyone on your contact list a copy is automatically archived and placed onto the “Newsletters” page of your “Private Client Website” for your clients and visitors to read.

Database Management

1. Can I import existing databases?
Yes, The Coaches Console works with most major software programs, including Outlook, ACT, QuickBooks & Quicken.

2. Do I have to add my client information into the system?
The Coaches Console allows import & export of your existing data from other software programs. The administration module also allows you to give your clients access with a secured password, or clients can complete & submit a “Client Profile” which will also provide secure access.

3. Does it matter how many people I have in my database?
No. You have unlimited space on our server for as many clients and/or prospects as you have listed in The Coaches Console.

4. How is my contact list organized?
Your contacts are automatically organized into “Active”, “Inactive”, “Hot Lead” and “Prospect” status levels.

5. Can I organize my contacts into Groups?
Yes, you can set up as many groups into your contact list as you wish. You can have as many contacts in any group. And any contact can be in no group, one group or a combination of groups.

Forms

1. Is there a way in The Coaches Console to help me as well as my clients know how we are doing in the coaching process?
Yes. The welcome packet offers interactive evaluation, goal tracking and discovery and intake forms.

2. If I am a new coach, do I have to create my own forms?
No, The Coaches Console provides welcome packet templates to use or modify.

3. Can I assign forms to specific individuals or groups of contacts?
Yes. Any standard form, documents or custom forms can be assigned to one individual, a combination of individuals or to groups of people. Clients will only be able to view and access the forms that have been assigned to them.

4. What forms come standard in The Coaches Console?
Your system will be setup with a:

  • Client Profile form,
  • Goals form,
  • Discovery form,
  • Call Strategy form and
  • Evaluation

 5. Can I edit the standard forms?
Yes you can. You will find that the standard forms already have basic questions included that are based on industry research of other successful coaches. You can use the questions that are included in these standard forms or you can edit them as you wish.

6. What if I have different names for the standard forms in my system?
That is not a problem because you can change the name of any of the forms in the system.

7. How will I know if my clients have completed their forms?
There are actually two fun options you can choose from on how you want to be notified of your client updates. You can simply choose a simple email notification that lets you know they’ve updated a particular form. Or you can also elect to have the information that your client updated included in the email notification.

8. Does the system archive old form answers from my clients?
Absolutely. Whenever a client updates any of your forms in your Coaches Console system, any previous information is archived by original date submitted for your reference as well as for the client’s reference.

9. I have other forms in addition to the ones that are provided in The Coaches Console. Can I add in additional forms and customize them?
Yes, you can add as many forms as you wish. You can customize them, edit them and even assign them to a specific client and/or groups of clients.

General Business System Information

1. What is the difference between The Coaches Console and other sales management software programs?
Other sales programs monitor and track the activity of prospects and marketing; the process of converting clients. While The Coaches Console manages your marketing activity it also allows you to streamline all the “back office” administrative tasks of your business and client management. Activities such as invoicing, communication, client management website and more are all located within The Coaches Console.

2. Who is the ideal user of The Coaches Console?
There are really 3 ideal users:

  • The brand new coach just getting started with very few clients
  • The business owner that wants to grow their business without creating more work and longer hours
  • The business owner that understands the importance of leveraging your time, energy, resources and money in the right places.

 3. I’m a new coach and don’t have any clients yet, is that okay?
We think this is the absolute best time for you to implement The Coaches Console. Of our members surveyed, 80% of them said that if they could go back in time and start their business again that the one thing they would do differently is to start with a tool like The Coaches Console sooner. In fact, within the first 6 months of being a Coaches Console member over 50% of our members surveyed said their business grew 15-25 %. And over 40% of our members surveyed said they increased their referrals since they started using Coaches Console.

Merchant Account – On-Line Credit Card Processing

1. Can I use my existing merchant account?
The Coaches Console only works with merchant accounts provided by Practice Pay Solutions and/or PayPal. If you already have an account with either of those companies, then yes you can use your existing account. 2. Do I need to have a merchant account to use your system, or is credit card processing included somehow?
No, it is not required. The system is intended for use with a merchant account, but it is not a requirement. The system accepts on-line payments as well as checks, cash, waiving of fees and can accommodate bartering and/or pro-bono client scenarios. We have a relationship with Practice Pay Solutions and PayPal, so should you choose to set-up a merchant account, we can make that process very simple (and for our members, the application fee is waived).

3. Are there additional fees for a merchant account with Practice Pay Solutions and/or PayPal?
While the application fee is waived for members of The Coaches Console, depending on the package and option you choose with either of these companies, there are additional statement and processing fees associated. 4. Can I accept payments online in foreign currencies?
The Coaches Console is integrated with PayPal and allows you to invoice in multiple currencies and receive online payments from over 17 currencies.

On-Line System vs. Software

1. Do I have to purchase software?
No, The Coaches Console is an on-line subscription-based solution. Log on & you always have access to the latest version.

2. How does the system help manage my business?
The system provides reports such as session tracking, certification hours, account information, invoices, projected income, & year-to-date finances & more.

3. Is there an option to have more than one coach use one system membership?
Yes, the system will allow limited use of multiple coaches as a single system. We have other options available and are happy to work with you if you have multiple coaches working within your coaching practice accessing multiple clients. 4. Do you have a desktop version?
No. Because the system is supported on-line rather than on your individual desktop computer, it is designed to be accessible by you, your clients and/or your VA from anywhere at anytime. The system is also designed to be flexible for its members so that as we enhance the system and add new items, you quickly and easily are using the latest version, without downloading or installing updates, and there is never a fee for upgrades or new releases.

5. Do I own the software?
You actually have a license to use the web-based software. You don’t own the software; you just own your data that resides in our software. Your one-time, up-front license fee gives you permission to use all the features that comes with your Coaches Console System.

Pricing of The Coaches Console

1. What are my start-up costs?
$138, which includes a one-time $99 licensing fee & a monthly fee of $39.

2. What is the average monthly cost?
$39 per month. That's all. You can save an additional 15% when you register for an annual subscription. That’s 1½ months free!

3. What is included with my membership fee?
You have access to all of the core features (contact management, client file management, communication module, invoicing module, website module and report module). In addition to the core features of the technology, you also have access to hundreds of recorded tutorials and training clips. Plus you are invited each week to a “member’s only, private “Tues@2” call. In this live session Melinda Cohan, one of the Co-Founders, will walk you through the various features of your business showing you exactly how it helps you to build, grow and manage your business success and answer any questions you have about the system. Also included in your membership is access to the Community Forum, a listing in the Community directory and the ability to post your events on the Community calendar.

4. Are there additional costs for added features, i.e., if I wanted to take credit cards, would I pay extra?
If you choose to accept credit cards you must have a banking relationship or a merchant account that accepts credit card processing. There are fees associated with these type of services. For all members of The Coaches Console, you have the option of opening a merchant account with Practice Pay Solutions, the premier provider of these services to the coaching industry, with very low fees. As a member, your application fee is waived and you would have a monthly statement fee of about $26.00. You also have the option to use PayPal as your credit card solution provider. There is no monthly fee with PayPal. This is a choice and is not a requirement of the system. Many members elect to step into this at a later date as they increase their revenue.

5. Will you ever increase the price?
While we don’t anticipate doing so, a price increase would not affect you. As a member you will always pay the price you signed up for, no matter what!

6. In terms of the costs, what is the level of (initial) commitment necessary to enroll? Is month to month an option? And is there a prescribed method of paying (i.e. auto deduct from credit card, check, etc.)?
We just ask you to make a month to month agreement with us. As long as the system serves you and your business, we’d love to support you. If you find the system is not what you are needing/wanting, then we ask for a 30 day notice and we’ll mark your account inactive. When you sign up, you will be prompted to (1) create your username and password to initialize your account. You will then be asked to (2) provide your billing information (debit or credit card) and the monthly fee will automatically be deducted every 30 days from the account given. As a note, should you need to change which account the fee is being debited from in the future, you can simply contact us (our bookkeeper) and she can update that information easily for you.

7. Why does the Virtual Tour indicate that the monthly membership fee is $29/month when the price that is displayed on the SIGN UP NOW page indicates $39/month?
When we first launched The Coaches Console, the monthly membership fee was $29/month. After 5 years of continuing to upgrade the system, make additions and provide additional services (with no changes in the membership fee), we had to increase the membership rate to accommodate the evolution of the system and its offerings. A few months ago there was a (the first and only) price increase to the membership fee of The Coaches Console System, making the current membership rate $39/month. While it is simple and easy (and quick) to update and change the information on the website and shopping cart to reflect the current membership rate of $39 updating and changing the virtual tour data is more complex. We are in the process of updating the virtual tour to reflect the current membership rate of $39/month. We apologize for any confusion. Once you become a member, you are always grandfathered in at the membership rate you are paying. And remember that you can also select the annual membership option to save an additional 15% off of the membership rate.

Scheduling

1. Are reminders sent to my clients before each appointment?
Yes. In fact this is one of the features that so many of our members enjoy. As you schedule appointments into your Coaches Console calendar, an automated reminder is automatically sent to your client the day before each appointment. PLUS… the system converts the appointment reminder to your client’s time zone.

2. How will I know if appointments have been changed?
When clients make changes, you and the client will receive an e-mail reminder.
There is a lockout period so that clients can not change appointments at the last minute.

3. How can I simplify scheduling recurring appointments?
The Calendar system allows you to schedule recurring client and prospect appointments daily, weekly, bi-weekly, or monthly. The system will also support a 3-week coaching model. For example you can schedule recurring appointment for the 1st, 2nd and 3rd Wednesday of each month.

4. Will my clients be able to see all of the appointments on my calendar or just theirs?
Your clients will only be able to access their own appointments. They will not see other client appointments nor will they see your personal appointments.

5. Does The Coaches Console support multiple time zones?
Yes, your Coaches Console supports you in your specific timezone and your clients in their specific time zones. When you schedule appointments you schedule them according to YOUR time zone. When your system sends your client the automated reminder, it is in your clients time zone. The system automatically converts appointments, reminders and schedules to the appropriate time zone so there is no confusion or missed appointments.

6. Can my prospects schedule appointments with me?
Yes. When you establish blocks of “Available” time on your calendar, clients as well as prospects will have access to only those certain times noted by “Available.” Once a client or prospect schedules an appointment with you, you will receive an immediate email notification and the appointment is automatically added to your calendar.

7. Will my calendar sync with iCal?
Yes. The synchronization process allows your calendar to automatically synchronize with your iCal as well as handheld device.

Security

1. Is data secure?
Yes, data is protected by advanced technology & utilizes an 84-bit encrypted net solutions program.

2. How is data protected?
The Coaches Console performs daily back-ups of all information. The server provides double protection with an on-site and off-site disc back-up.

3. What will my clients see when they log into my Coaches Console webpage?
Clients see only your personalized client interface website. Our goal is that your clients only know who you are – they do not see reference to The Coaches Console or anything that promotes our company.

4. How is data stored and kept safe? I want to assure my clients of this.
There are daily back-ups of all data in the system. This remains confidential in a secure co-location facility (on-site with an off-site duplicate). By providing username and password protection as well as utilizing the VeriSign Security Certificate, we ensure that you have the highest level of security possible. Safety and Confidentiality is very important to us and our coaching clients as well. This is a top feature of our system.

5. What do you do to update the system and prevent bugs from slowing it down?
The system functionality is constantly monitored by the technical staff and we perform quarterly releases to the system that upgrade the current features and add in new features.

6. Can I obtain my clients’ data that I have on file in my Coaches Console system as well as all data that is organized in my Coaches Console system?
Yes. You own your data and you always have access to export or download your data at anytime. Whether it is your contact list, your client files, your invoicing history, appointments, or certification hours you are able to export or download your data. Depending on the data will depend on the method of exporting or downloading. Your contact list and various reports (including the certification report) will be exported to a .csv (comma separate value) format. Your calendar can be synchronized to ical and vcal formats. Your client data (forms, log entries and all session notes) can be printed or copied into a word document. There is not a simply button that says “get all my data” for that is the purpose and benefit of The Coaches Console system. Your data can be obtained and downloaded at your convenience.

Signing up

1. How do I begin?
Click on the “BUY NOW” button, complete your application and account set-up and you are ready to use the system.

2. If I sign-up for the monthly membership can I then choose to move into the annual membership?
Yes. At any time you can choose to pay for an annual membership and save an additional 15%.

3. If I'm not satisfied, is there a money back period, including the setup fee?
Since we do have the various demos, guided tours, etc. if you sign up for the system, go through the training and setup process and within the first month of your membership, you realize this is not for you, then yes we will refund your monies. We do not ask you to sign any sort of extended time commitment with us. The agreement is month to month. As long as the system serves you, then your membership is active. As you move further into your membership, your setup fee (license fee) is not refunded, we simply no longer charge you the monthly fee.

4. When I sign up, how long before I can log in to my new system?
Immediately. Once the sign up process is complete, you can then go straight to the Members Login Page and log in to your new Coaches Console system.

System Compatibility

1. I am a MAC user, can I use Coaches Console?
We are a web-based tool and work on both PC’s and MAC computers. We are compatible with Internet Explorer and Firefox. We also operate on Safari, but some components of the Safari browser do not allow some of the functions of our program to work properly, so we recommend that MAC users use Firefox.

2. Is your system compatible with Windows Vista?
Typically it doesn’t matter what type of operating system a person uses on their computer. We recommend that you use Windows XP.

3. What is the preferred browser to access Coaches Console?
We recommend Firefox or Internet Explorer, even for Mac users. You can also use Safari, but we have found that the system speed and efficiency is optimized with Firefox.

4. What other programs and software interface with Coaches Console?
Coaches Console will directly interface with the following:

  • Outlook
  • Act
  • QuickBooks
  • iCal

Tech Support

1. Can I get tech support 24/7?
The system functionality is constantly monitored by technical staff. Tech support is free and we always respond to you within 24 hours of receiving the request. We have an on-line help guide that provides step-by-step instruction on all the features of the system. We also have e-mail and phone access to technical support. And we host weekly free "Tuesday's @ 2" calls to provide additional support, a place to answer questions and walk through processes together and to interact with the other members of The Coaches Console and discover how they are creatively using the system within their business.

2. If a customer has an idea for an improvement for your system, do some of these suggestions get incorporated as upgrades?
Of course. The system you’ve experienced is what it is because of our members. About every 3-6 months, we have a new release that includes tweaks, additions, etc. While we can’t incorporate every request, we do our absolute best to incorporate all that we can. And when you sign up and pay the one-time license fee, you then have access to the structure of the system as it is when you sign up as well as to any and all releases in the future (and there is no downloading the new releases since it’s an on-line system).

3. Typically, how often do you make upgrades?
Our ideal schedule is every 3-6 months.

4. What if I want additional support or private one-on-one training?
In addition to the on-line help desk, the recorded training tutorials and weekly calls, you can always take advantage of one of The Coaches Console Certified VA’s to support you. Through various packages and options you can identify the type of support you desire and when you want to pursue the additional support. There is an extra fee associated with the Certified VA packages so be sure to check out the option that is just right for your needs.

Website / Member’s Only Area

1. Can prospective clients find my Coaches Console webpage without logging into the system?
Yes. Each coach has a website name that clients & others can access through an Internet connection.

2. Website image is a big one for me – I want to be able to create something that reflects me and doesn’t LOOK like a template. How can I do that?
You can choose from a number of design templates that matches the look and feel you desire. You can also customize the names of menus, labels, logos, graphics as well as the content to match your professional brand.

3. Can I have a link from my current website to The Coaches Console home page?
Yes. Your website has a Coaches Console link so clients can easily sign-in for various tasks.

4. How can I personalize my Coaches Console home page?
You have the ability to import your company logo, bio, personal photograph, graphic, contact information and other links.

5. Is it possible to have some references from current clients and/or to see some of the websites that people have created?
Yes, to contact current members and see some of their websites, e-mail Angee Robertson at Angee@coachesconsole.com with "reference request" in the subject line and she will connect them to you.

6. Could the console indeed and in fact be used as a singular website for my business?
While this is not the intention, it can easily be used as your web presence. We suggest that this be a temporary solution and that you plan in the future (be it 6 months, 1 year, etc) to create what we call a “full blown marketing” website. You do have the capability to upload your logo, graphic, photo, choose colors, etc. So you can create it to fit your business. Also, many of our coaches have domain names registered, but no website content on them. They will “point” their registered domain name to the website link that have through The Coaches Console – so to their clients/visitors, it is seamless.

7. What if I already have a domain name registered?
Many of our coaches have domain names registered, but no website content on them. They will “point” their registered domain name to the website URL that they have through The Coaches Console.

8. Does the standard home page have the "normal" tabs such as About Me, Contact, Free Stuff, Products & Services, etc.?
Your website will include the following pages: WELCOME, BIO, FAQ’s, FORMS, PAYMENT, REGISTER NOW, RESOURCES, NEWSLETTERS, LOGIN AND CALENDAR The Forms, Payment, and Calendar are only available to those who have “logged in”.

Using A Virtual Assistant

1. What if I have a Virtual Assistant?
You can grant your Virtual Assistant access and the connection will work anywhere, anytime with Internet access.
We also have a “Certified VA” program within The Coaches Console. Your VA could become trained in effectively using The Coaches Console system for you AND even be among the select few who support other Coaches Console members in their system as well. 2. What if I don’t have a VA, but would like additional help in setting up my Coaches Console?
We have a team of Certified VA’s skilled in the expertise of The Coaches Console. You can choose from various packages or customize your own package to work with one of our Certified VA’s in the setting up and implementation of your business and Console system. In fact you could even utilize one of our Certified VA’s to help you with projects outside of your Coaches Console system for even greater business success.
